Operational assistant M/F

Our client, an European Institution is looking for an Operational Assistant who speaks fluently English and who has a good knowledge of French.

The candidate organises staff movements (arrivals, internal mobility and departures).
He monitors and coordinates requests for IT equipment & accesses by colleagues to ensure they have what is, needed to operate.
The candidate maintains some dashboards, communicates with colleagues from "Staffing" part of the Unit to verify the status on staff movements in the Directorate, provides back-up on trainings requests monitoring. Monitors the mailbox (many interactions with various contractors companies).
The candidate assists with the document preparation for Recruitment and tracking of the positions .
He assists with the coordination of the interims, prepares standard notes to HR & ensures circulation & signatures, reviews job descriptions, ensures the liaison between managers and recruiters when necessary.
The candidate monitors the mailboxes. (many interactions with managers).
In the absence of the budget analyst, he monitors the Budget mailbox and ensures the filing and/or follow up of any actions / assists on the purchasing and payment process.

The candidate has a certified secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration).
He has at least 3 years of relevant professional experience as an HR assistant or Administrative Assistant.
The candidate has an excellent command of written and oral English and good knowledge of French.
He has good knowledge of MS Office, some database experience. #1351553
