About the Role
Our client, a fully authorized Alternative Investment Fund Manager (AIFM) based in Luxembourg and specialized in Private Equity and Infrastructure, is seeking a Portfolio Management Officer (Junior to Mid-Level) to reinforce its Portfolio Management team.
Following recent internal turnover, the team—currently composed of three professionals—requires a dependable and well‑organized resource to ensure smooth execution of daily operations and fund‑related processes.
This position offers an excellent opportunity to gain exposure within a regulated AIFM environment and contribute directly to the stability and operational excellence of the platform.
Key Responsibilities
Operational & Document Management
- Review and manage a high volume of documents with accuracy and compliance in mind.
- Coordinate signature processes via DocuSign and handle NDA circulation.
- Prepare operational drafts, forms, and documentation.
- Ensure proper filing and adherence to internal processes.
Portfolio & Fund Operations Support
- Assist with the control and follow‑up of capital calls and distribution notices.
- Perform daily bank account monitoring, reconciliations, and transaction control.
- Support liquidity planning activities across ~27 funds.
- Contribute to AGM preparations, including vote forms, signature coordination, and dispatch.
Reporting & Compliance
- Produce routine internal operational reports.
- Support KYC, compliance requests, and the processing of invoices.
- Assist with regular governance and regulatory timelines.
Candidate Profile
Background & Experience
- Experience within an AIFM or regulated fund management environment is a strong advantage.
- Prior exposure to Private Equity or Infrastructure investment structures is highly valued.
- Understanding of operational processes such as AGMs, capital calls, cash monitoring, and basic fund mechanics.
Technical Skills
- Proficient in Excel (intermediate level required).
- Comfortable with DocuSign, SharePoint, and internal systems.
- Ability to work with structured procedures, checklists, and tight deadlines.
Languages
- Fluency in German and English is required.
