Edits and proofreads all outgoing documents to ensure compliance with administrative procedures and maintains quality control.
Performs general secretarial duties and administrative tasks, including mail/document handling and distribution, filing, and meeting organisation.
Prepares draft correspondence on various topics for the Division, including notes, reports, and presentations.
Verifies data to be included in contractual documents and coordinates with other Directorates to support lawyers in preparing new contracts and related documents.
Suggests improvements and contributes to enhancing key records management processes within the Division and Department.
Qualifications and Professional Skills:
Holds certified secondary-level education, complemented by a 2-year certification in a relevant field (e.g., secretarial studies, business administration).
Has at least 3 years of relevant professional experience (in similar or related tasks); experience as a secretary/administrative or legal assistant in a law firm, corporate legal function, or other legal environment is a strong asset.
Demonstrates very good knowledge of standard IT and office tools (especially Word, Excel, PowerPoint, Outlook), Acrobat, and common office hardware (e.g., printers and scanners); familiarity with Electronic Document Management tools, electronic archiving, and reporting tools is an advantage.
Possesses excellent command of English.
